COMPARE / AI VS HUMAN

AI receptionist vs answering service: which is better?

Short answer: an AI receptionist wins on cost at rising call volume, instant pickup and booking. A live answering service wins on nuance and urgent hand-offs. If most of your calls are routine, start with the AI and keep a human path for exceptions. I sell the AI version, so check my numbers against the sources below.

Vendor prices on this page were read from each vendor's own pricing page on 2026-10-01. Plans change, so confirm before you buy.

WHAT TO COMPARE

Five questions decide it.

  1. How is it billed? Per call, per minute or flat. The billing unit decides what a busy month costs.
  2. Who answers? A trained person, or software. Each fails differently.
  3. Can it book? Taking a message and putting a job on your calendar are different services.
  4. What happens at 2am? Both can answer. Check whether the price changes.
  5. Do you own the record? Recordings, transcripts and lead data should be yours.

THE OPTIONS

Each option, plainly.

AI receptionist

Software answers the call, asks the questions, quotes or qualifies, and books or texts you the details. It does not tire at peak volume and it costs the same at 2am. It is weakest on the call nobody planned for: an angry caller, an emergency, an odd request. Those get handed to you. Mine is Amanda, the agent I run on my own pest control line. Hear one real call with the transcript.

Smith.ai (live receptionists)

Smith.ai's pricing page lists three tiers for its human-first service: Starter at $300 a month for 30 calls ($11.50 per call over), Basic at $810 for 90 calls ($10.50 over) and Pro at $2,100 for 300 calls ($8.50 over). It says there are no setup fees and no contract, and it offers a 30-day money-back guarantee. Add-ons are priced per call, for example booking at $1.50. (Source: smith.ai/pricing, read 2026-10-01.) The page also links an AI-first option that I did not read, so I make no claim about it. See the Smith.ai and Ruby alternatives page.

Ruby (live receptionists)

Ruby prices by receptionist minutes: 50 minutes at $250 a month, 100 at $395, 200 at $720 and 500 at $1,725. It states there are no hidden fees for activation, onboarding or setup. (Source: ruby.com/plans-and-pricing, read 2026-10-01.) Minutes-based billing means long calls cost more than short ones.

What the price gap does and does not mean

At 300 calls a month my AI phone agent is $499 and Smith.ai Pro is $2,100. Those are different services. One is software, the other is a trained person. The honest comparison is whether your calls need a person. If they do not, the gap is real money. If they do, the AI is the wrong tool and you should not buy it.

VERDICT

Who should pick which.

Pick the AI receptionist if most calls are routine, your volume swings, and you want booking built in at a flat price.

Pick a live service if calls are sensitive, long or emotional, or a caller needs to talk to someone who can improvise from the first sentence.

Run both if you want routine calls handled by software and a person on the exceptions. Forward the exceptions to the live service.

Not sure which bucket your calls fall in? Work out what your missed calls cost first. If the number is small, buy neither.

FAQ

Frequently asked questions.

AI receptionist vs answering service: which is better?

It depends on what your calls are. If most are routine (service area, price, when can you come out), an AI receptionist covers them at a flat monthly price. If many calls need judgment, tone or an urgent human hand-off, a live-staffed service is stronger. Many owners start with the AI and keep a human path for the exceptions.

Do AI phone agents actually work for handling customer calls?

For routine intake and booking, yes in my own use, and you can check rather than trust me. Listen to a real three-minute call to the agent on my pest control line, including the one line she got wrong, then call the demo. I have no controlled study to cite on accuracy, so I do not quote a percentage.

How much does an AI receptionist cost per month?

It varies by vendor and I will not quote a market range I cannot source. My AI phone agent is $499 a month plus a $500 one-time setup, covers up to 300 answered calls a month, then $1 per call, month to month. For the human side, Smith.ai lists $300 a month for 30 calls and Ruby lists $250 a month for 50 minutes (both from their own pricing pages, checked 2026-10-01).

Will customers hang up on an AI receptionist?

Some will, and I have no sourced hang-up rate to give you. The agent says it is an AI and that the call is recorded before anything else, so no caller is misled. The honest test is to hear a full call: the transcript on How a call goes shows where a caller could have bailed and did not.

Can an answering service book appointments?

Many can, usually as an add-on. Smith.ai lists appointment booking at $1.50 per call on top of the plan price (smith.ai/pricing, checked 2026-10-01). Ruby lists scheduling among its optional features. Confirm which calendar system each supports before you buy.

Do I need a contract?

Not with the two services priced on this page. Smith.ai states it is month to month with a 30-day money-back guarantee, and my AI phone agent is month to month. Ruby's pricing page does not state a term, so ask them.
